Your privacy matters to us. This policy explains in plain language what data Apollo Network collects, why we collect it, and how it is used. We believe in transparency and collecting only what is necessary.
Apollo Network ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information. By using our services, you agree to the collection and use of information in accordance with this policy.
We collect minimal information necessary to operate our services. This may include: (a) Your Minecraft username and UUID, used to manage your access to our game servers, deliver any purchased perks to your account, and verify Minecraft account ownership when you link your account on the website. (b) Your IP address, collected automatically by our game servers and web server for security purposes, including detecting ban evasion and preventing abuse. (c) In-game activity logs (chat messages, commands, connection timestamps) retained for moderation purposes. (d) Website account data — when you sign in via Discord or Google OAuth, we receive and store your user ID, email address, display name, and profile avatar from the authentication provider. This data is used to identify your account and display your identity on the website. We do not receive or store your password. (e) User profile data — you may optionally set a display name, choose an avatar source (Discord, Google, Minecraft, or initials), and link a Minecraft account. Your linked Minecraft username and UUID (verified via the Mojang API) are stored to display your Minecraft identity and avatar. (f) Blog comments and activity — when you post a comment on a blog post, we store the comment text, your display name, avatar, and user ID. If you edit or delete a comment, those actions are recorded. If you flag (report) another user's comment, we store your user ID alongside the report. (g) Store session data — when you use our store, your Minecraft username, basket identifier, and item selections are stored locally in your browser (localStorage) to persist your cart between sessions. This data is stored on your device only and is not transmitted to Apollo Network servers except where stated below. (h) Gift recipient username — if you purchase a gift for another player, their Minecraft username is stored locally in your browser for the duration of the transaction. This username is passed to Tebex to deliver the gifted item. We do not store third-party Minecraft usernames on our own servers. (i) Discord User ID (optional) — during store checkout, you may voluntarily provide your Discord User ID to help us link your purchase to your Discord account and grant applicable roles (such as the Contributor role). This ID is stored locally in your browser and, if provided, is logged server-side alongside your basket identifier at the time of checkout. Your Discord User ID is a public-facing identifier and does not grant access to your Discord account. We do not access your Discord account or any private Discord data through this process. (j) Purchase information — when you complete a purchase, your Minecraft username and order details are passed to Tebex to fulfil your order. Payment details (card numbers, billing address) are collected and processed entirely by Tebex and are never seen or stored by Apollo Network. (k) Staff application data — if you submit a staff application through the website, we collect and store the information you provide, including your Minecraft username, age, weekly availability, in-game hours, servers played, command familiarity rating, and written responses to qualification questions. Your linked Discord ID and Discord username are also recorded alongside your application. Application data is accessible to our administrative team for review and is retained as described in Section 6. (l) Admin audit logs — when staff members perform administrative actions (such as creating posts, moderating comments, or managing users), the action, actor name, and Discord ID are recorded in an audit log for accountability purposes. (m) Outbound link click data — when you click certain links on the website (such as links to our Discord server or servers page), we record which link was clicked, which page it was on, and the time of the click. We do not record your IP address, user identity, or any other personal information alongside these clicks. This data is used solely to understand how visitors navigate our site. (n) Player reviews — if you submit a review on the website, we store your review text, star rating, optional favorite server selection, your display name, and your linked Minecraft username. Your review is visible to our administrative team immediately and becomes publicly visible once approved. We do not display your real name or email address on reviews. (o) Discord user information if you interact with us through our official Discord server, governed by Discord's own Privacy Policy.
We use the information we collect to: (a) Operate and maintain our game servers and website. (b) Enforce our Server Rules and Terms of Service. (c) Process and fulfil store purchases and deliver in-game perks to the correct Minecraft account. (d) Authenticate your identity and manage your website account, including displaying your name and avatar on blog comments and other public-facing areas. (e) Moderate user-generated content, including blog comments, using automated content filters and manual staff review. (f) Manage staff permissions and access to administrative features. (g) Communicate with you regarding support requests, moderation actions, or service updates. (h) Improve the stability, performance, and security of our services. We do not sell, rent, or trade your personal information to third parties.
Apollo Network integrates with the following third-party services, each with their own privacy practices: (a) Tebex (tebex.io) — our payment processor. Tebex handles all billing information, payment processing, and order management. Please review Tebex's Privacy Policy at tebex.io/privacy for details on how they handle your data. (b) Discord OAuth — used as an authentication provider for website sign-in. When you sign in with Discord, we receive your Discord user ID, username, email, and avatar. Governed by Discord's Privacy Policy. (c) Google OAuth — used as an authentication provider for website sign-in. When you sign in with Google, we receive your Google user ID, name, email, and profile picture. Governed by Google's Privacy Policy. (d) Mojang API (Microsoft) — used to verify Minecraft account ownership when you link your Minecraft account on the website. We send the username you provide and receive back the verified username and UUID. (e) Minecraft / Mojang — game authentication and account verification for server connections. (f) mc-heads.net — used to display Minecraft player head images on our website based on usernames. (g) Neon — cloud-hosted PostgreSQL database provider used to store website data (accounts, profiles, blog posts, comments). Data is encrypted in transit and at rest. (h) Discord — community communication platform. (i) Cloudflare — our website is served through Cloudflare's network for performance and security. Cloudflare Web Analytics (static.cloudflareinsights.com) is enabled to collect anonymous, aggregate page-view metrics. Cloudflare Web Analytics does not use cookies, does not track individual users, and does not collect personal information. Governed by Cloudflare's Privacy Policy. (j) CurseForge — links to modpack downloads. (k) Perspective API — chat message moderation. We recommend reviewing the privacy policies of these services directly. We are not responsible for the data practices of third-party services.
Our website uses minimal cookies and browser local storage necessary for its operation. Cookies: • next-auth.session-token — a secure, HTTP-only cookie that stores your authentication session as an encrypted JWT. This cookie is essential for keeping you signed in and is set when you sign in via Discord or Google. It expires after 30 days or when you sign out. Local Storage: • Theme preference — stores your light/dark mode choice so it persists between visits. • Minecraft username — persists your identity between store sessions so you do not need to re-enter it. • Basket session identifier — maintains your active cart across page refreshes. • Package option selections — remembers which server or variant you selected for each cart item. • Gift recipient username — if you purchase a gift, the recipient's Minecraft username is stored locally until the order is complete. • Discord User ID (optional) — if provided, stored locally and transmitted to our servers at checkout for role fulfilment purposes only. You may clear it at any time by removing it from the input field in the cart. All store-related localStorage data is cleared when you log out of the store or clear your browser data. We also use sessionStorage briefly to remember your scroll position within the store — this contains no personal information and is cleared when you close your browser tab. We use Cloudflare Web Analytics for anonymous, aggregate page-view metrics only — it does not use cookies, does not track individual users, and does not profile your browsing behaviour. We do not use advertising trackers and we do not serve targeted advertisements. Server-side logs may record page requests and IP addresses for security and diagnostic purposes; these logs are retained for a limited period and are not shared with third parties.
We retain data for the following periods: (a) In-game logs and moderation records — up to 12 months for general logs; indefinitely for records related to permanent bans. (b) Website account and profile data — retained for as long as your account exists. When you delete your account, your profile data, linked accounts, and authentication records are permanently removed. (c) Blog comments — if you delete your account, your comments are anonymised (attributed to "Deleted User") rather than deleted, to preserve discussion context. The original author identity is not recoverable after anonymisation. (d) Comment flags (reports) — retained for as long as needed to resolve the report, then archived. (e) Staff application data — retained for as long as needed for the review process. Rejected applications may be retained for up to 12 months to inform future applications. If you delete your account, your application data is removed. (f) Admin audit logs — retained indefinitely for accountability and security purposes. (g) Purchase records — retained as required by applicable financial regulations. (h) Local browser data (localStorage) — persists until you clear it or log out. If you request deletion of your data, we will honour that request to the extent that it does not conflict with our legitimate interest in maintaining community safety or our legal obligations.
Our services are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. Purchases through our store require the purchaser to be at least 18, or to have parental consent. If you believe that a child under 13 has provided us with personal information, please contact us and we will take steps to delete such information promptly.
We take reasonable technical and organisational measures to protect your information from unauthorised access, disclosure, alteration, or destruction. This includes: (a) All website traffic is encrypted via HTTPS with security headers (HSTS, X-Content-Type-Options, X-Frame-Options) on all responses. (b) Authentication sessions use encrypted JWT tokens stored in secure, HTTP-only cookies. (c) Payment processing is delegated entirely to Tebex, which maintains PCI-DSS compliance. Apollo Network never sees or stores payment card information. (d) Database connections are encrypted in transit. (e) Administrative actions require authenticated sessions with role-based permission checks. However, no method of transmission over the internet is 100% secure and we cannot guarantee absolute security of your information.
Depending on your jurisdiction, you may have the right to access, correct, or request deletion of personal data we hold about you. (a) Account deletion — you can delete your account at any time from your profile settings page. This permanently removes your profile data and linked accounts. Blog comments are anonymised as described in Section 6. (b) Profile correction — you can update your display name, avatar, and linked Minecraft account at any time from your profile page. (c) Data access — to request a copy of the data we hold about you, contact us via our Discord server. (d) Tebex data — for data held by Tebex (billing and payment records), please contact Tebex directly at tebex.io. We will respond to all legitimate requests within a reasonable timeframe.
We may update this Privacy Policy from time to time. We will notify users of significant changes via our Discord server. The date at the top of this page indicates when the policy was last revised. Your continued use of our services after changes are posted constitutes your acceptance of the revised policy.
